Job Summary:
The Logistic Supervisor is responsible for the supervision of employees for their department at a particular field office for contract assigned.
The Logistics Supervisor supports operations 24/7 and oversees operational, logistical support, and administrative tasks required to support ground and air transportation. The Logistics Supervisor works in conjunction with field staff, Command Center, stakeholders, and the corporate logistics department to ensure the safe transport of minors and personnel. The Logistics Supervisor oversees daily operations for inventory, supplies, distribution, and transportation, and coordinates with corporate logistics department to ensure company logistics policies, Standard Operating Procedures, Operational Plans, and objectives are met. He or she oversees vehicle safety, including regular preventative and corrective maintenance, and ensures drivers are authorized to operate vehicles. This position is responsible for ensuring established workflows, policies, procedures and protocols, and fiscal accountability are performed in their office.
Essential Functions and Responsibilities:
Ensures ongoing program-wide compliance with contract and company policies, procedures, and guidance, with applicable laws and regulations and ensures changes are communicated to the team, as necessary.
Manages multiple projects simultaneously as well as provides required reports to Executive Management on a timely basis, while managing, verifying, and updating information in the company database system.
Maintains a consistent level of communication with all employees, other departments, executive management, stakeholders, and customers.
Manages and communicates with on-site and off-site teams that consist of Office Administrators, Logistics Specialists and Transportation Specialists.
Implements, monitors, and ensures the effectiveness of the company's quality control plan and training programs. Escalates concerns and suggests improvement to the Site Manager.
Conducts operational inspections of program activities, office, vehicles, equipment, etc. as well as random in-person spot checks during transportation events to ensure contract compliance.
Monitors camera surveillance for Site offices and vans to ensure contract compliance.
Identifies inappropriate employee behavior and or performance issues in collaboration with Site Supervisors and People Services and addresses through corrective and or disciplinary action.
Provides coaching, mentoring and corrective action; escalates when needed to the Site Manager.
Reviews Logistics staff schedules, dispatches of vehicles and drivers, monitors speeding levels and provides appropriate support.
Assists Site Manager in conducting orientations, on-the-job training, and evaluations for Logistics Specialists to ensure all direct reports are trained and onboarded according to company requirements.
Monitors and reviews information on internal systems (Canvas, Pantry, Form stacks, etc.), reviews Power BI reports and assess the effectiveness of IT systems and brings any suggested changes and improvements to the Site Manager and/or Program Manager/Field Operations Manager.
Supervises the corporate vehicle maintenance program; manages the maintenance of the fleet of vehicles and ensures vehicles are cleaned, fueled and ready for trips.
Provides mileage totals to the corporate logistics department regularly or as requested by operational plans or standard operating procedures.
Coordinates with the corporate logistics department any issues arising with vehicles camera surveillance equipment, GPS, and Driver ID kits.
Ensure employees meet DOT compliance and reporting related to the fleet.
Ensure company vehicles have proper registration, toll passes, and vehicle inspections; ensures vehicle logs are completed correctly.
Responsible for overseeing inventory and supplies; monitors availability of stock to reduce excess, prevent shortages, and provide updates to the corporate logistics department regularly or as requested by operational plans or standard operating procedures.
Participate in collaboration and coordination logistics synchronization meetings with the corporate logistics department regularly.
Reviews and oversees work processes and procedures to ensure internal control measures meet the audit requirements.
Ensures inventory accuracy; ensures all data are posted accurately in company's internal systems.
Other duties as assigned.
Minimum Qualifications & Skills:
Possess a bachelor's degree from an accredited university (an associate degree with two or more years of extra relevant experience may be substituted for a bachelor's degree, or more than four years of related experience may be substituted for a degree) and,
Have at least two years or more of documented experience in a field related to transportation, logistics, business, supply chain, sustainment or similar occupational area; and (a minimum of four years of experience is required when an associate degree with two or more years of relevant experience is substituted for a bachelor's degree or 6 years of experience in a related field when four years of experience is substituted for a degree) and,
Demonstrate experience applicable to the goals and objectives of this requirement and appropriate for a similar program environment. Must be accessible by mobile phone 24/7/365.
Demonstrate basic process safety knowledge, the ability to identify and assess risks in everyday operations, understand the protective measures and emergency responses for the unit processes and the interaction of Process Safety procedures.
2 years' experience management experience.
Valid driver's License, clean driving record.
Valid US passport book required or proof of being in the process of obtaining one, depending on the program.
Bilingual in English and Spanish.
The work schedule may fluctuate according to work demands including evenings and weekends, periodic long and irregular working hours. Travel is required frequently between offices, within the service area, to audit trips, and to attend meetings and conferences as required to fulfill the obligations and responsibilities of the position.
Available to work a flexible schedule, including nights and weekends.
Availability to travel regularly within the United States
Availability for international travel depending on the program.
Have investigative and report writing experience.
