Patient Records & Payment Processing Associate PRN (Healthcare)
ESSENTIAL RESPONSIBILITIES: This position is responsible for the following areas. Other duties may be assigned.
Scanning & Organizing Patient Charts:
Assist in the scanning, indexing, and organizing of patient charts and records into the facilitys electronic health records (EHR) system. Ensure proper disposal of paper charts and records in compliance with organizational policies and legal requirements.
Record Maintenance & Filing:
Maintain electronic and paper filing systems for patient records, ensuring all documents are organized and up to date. Verify the completeness and accuracy of patient records, following up with appropriate staff as needed.
Payment Processing & Posting:
Process patient payments, including credit card, cash, and insurance payments. Post payments to patient accounts in the EHR or accounting system. Review patient accounts for accuracy and resolve discrepancies as necessary.
Billing & Payment Reporting:
Assist in the generation of billing reports and payment summaries for internal use. Provide regular reports on payment activity, outstanding balances, and billing trends to management.
Record Review & Quality Control:
Review patient records and billing information for accuracy and compliance with organizational policies. Work with the billing team to identify and resolve any billing errors or discrepancies.
Confidentiality & Compliance:
Maintain strict confidentiality of patient information and financial records in accordance with HIPAA and organizational policies.
Ensure that all processes follow legal and organizational guidelines for handling patient information and payments.
QUALIFICATIONS:
Experience & Skills Required:
High school diploma or equivalent required. Associates degree or relevant certification preferred. Experience in healthcare administration, medical billing, or a similar field preferred. Proficiency with office software (Word, Excel, Outlook, etc.) and experience using electronic health records (EHR) or billing systems. Strong organizational skills and the ability to manage multiple tasks simultaneously. Excellent attention to detail and accuracy in data entry and processing. Ability to work independently and as part of a small team. Strong written and verbal communication skills.
Preferred Attributes:
Knowledge of HIPAA regulations and patient confidentiality practices. Experience with payment posting, patient accounts, or billing processes. Ability to handle sensitive information with discretion and professionalism. Flexibility and a solutions-oriented approach to problem-solving.
PHYSICAL DEMANDS:
The physical demands described here are typical of an office environment, including sitting, standing, walking, and using office equipment (e.g., computers, scanners, and phones). Occasional lifting of up to 25 lbs. may be required.
WORK ENVIRONMENT:
This position may require both in-office and remote work, depending on the needs of the organization. Must be comfortable using virtual communication tools (email, video conferencing) for meetings and task management. The noise level in the work environment is typically moderate.
