The Program Coordinator of the Newborn Screening Program is a vital member of the team responsible for follow-up on all abnormal newborn screen results received for babies born within the state of Delaware. The Newborn Screen Program is an essential public health activity focused on testing every newborn for certain congenital conditions which, without early identification and management, can result in significant morbidity and mortality. In contract with the state of Delaware, Nemours is responsible for the laboratory (subcontracted with Revvity) and follow-up medical services portion of the program. The Program Coordinator will serve as the administrative point person for day-to-day operations of the program.
Responsibilities:
Obtain abnormal results from the screening laboratory on a daily basis Monday through Friday.
Follow reliable methods to communicate abnormal results. Review certain presumptive positive abnormal results with the medical consultant on call on a daily basis and obtain directives for these abnormal results.
Ensure directives on each abnormal result are provided by a Newborn Screening Medical Consultant or reliable method and that directives are carried out.
Communicate directives for abnormal newborn screens to the newborn's provider (NICU or PCP) in provider-specific methods (such as fax, electronic, HL7, etc).
If provider listed on demographics is not correct obtain current provider for the affected newborn.
Answer phone calls from families and providers regarding newborn screening results (both normal and abnormal) .
Ensure prompt follow-up of unsatisfactory specimens
If the laboratory reports receipt of an unsatisfactory specimen then contact the newborn's current provider and recommend an immediate repeat collection of the newborn screen.
Ensure correct demographic information for infant is obtained. For those infants for whom incorrect or missing information is recorded on the DBS card, locate infant and primary care provider for infants with abnormal results and or missing demographic information.
Contact the child's primary care provider, NICU provider or birth center) and obtain the missing information. If necessary may need to contact the parent of the newborn to locate missing information.
Send correct result-specific letters and results to appropriate parties at specific times after abnormal results are obtained.
Will utilize the Revvity web-based eReports system to link result specific letters (or generate custom letters in conjunction with the medical consultants) to abnormal results to communicate to the newborn's providers.
Be involved in the creation and updating of standard letters in the eReports system.
Ensure that any requested repeat screening has been communicated to appropriate provider and/or parent and that the repeat is received and processed in a timely manner.
Communicate directives for abnormal newborn screens to the newborn's provider (NICU or PCP) in provider-specific methods (such as fax, electronic, HL7, etc).
If specialist follow-up is recommended a copy of the results will be sent to that particular specialist
Document any communication between the follow-up team (including the follow-up staff and the medical consultants) in the eReports software provided by Revvity and possibly as Epic encounters based on reliable methods.
Conduct biweekly case review of all open cases with medical consultants.
Prepare all cases for the biweekly case review.
Maintain contact with specialists and our outside metabolic center to receive updates on infants with abnormal newborn screens.
Short-term follow-up will be provided by reviewing any open cases which are marked for review on a biweekly basis. During this review:
Will ensure recommendations made by the Delaware Newborn Screening Program were carried out, such as repeat newborn screens, referral to specialists, etc. through a systematic review of the newborn's medical records, repeat newborn screens, confirmatory studies and along with communication with specialists and primary care providers.
If a diagnosis has not been made the Nemours' follow-up team will set a future date to review the case again and follow-up program coordinator will be responsible for reviewing these cases at the appropriate time intervals.
The follow-up team will continue to review all open cases on a regular basis until a diagnosis is made and the newborn is under appropriate care or until the newborn screen is deemed to be a false positive screen or closed as lack of follow-up.
If follow-up of the newborn is not occurring as recommended, will communicate directly with the involved providers and/or caregivers to ensure the newborn receives appropriate care.
If infant's family has refused screen ensure that a signed refusal form is received and recorded
Conduct weekly matches of the newborn screening database with Delaware Vital Records report from Delaware Division of Public Health.
Ensure report is received weekly from DE Vital Records.
Follow up on all infants recorded in Vital Records but not on Newborn Screening Database
Qualifications:
Bachelor's degree is required
Minimum 3 years administrative/clerical experience required
Experience in healthcare/newborn screening/public health is preferred
